A size is an item, not a filter

Each size, brand and pattern you stock is its own item on the item master, with its own code, category, brand and unit of measure. 205/55 R16 91V, Brand X, Pattern Y is one item; the 94V is another. You search and sell against that code.

It is worth being straight about what that means. Rim, profile, load index and speed rating live inside the item’s code and naming, not as separate structured fields you can pivot on independently. Set your naming convention up once, in a consistent order, and the search bar does the rest of the work all day.

Every branch, one figure

Stock is multi-warehouse, so one item shows what is in Al Quoz, what is in Sharjah, and what is on a purchase order and not yet landed. Moving stock between branches is a transfer that posts, not a phone call somebody forgets.

That closes the whole of the Tuesday above. The counter answers “do we have it, and where” without anyone walking anywhere.

Cost that is the real cost

Stock is valued at a moving weighted-average cost. When a tyre leaves the shelf it leaves at what it actually cost you across the deliveries you bought it in, so counter margin is a fact rather than an estimate against last season’s price list.

The stock ledger and the valuation reports reconcile to the inventory control account in the general ledger. There is no second set of books to agree with at month end.

Buying against what you know

Purchase orders, goods receipts and vendor bills run as one flow, so a delivery updates both stock and what you owe in the same movement. Reorder levels sit on the item, and you can simply ask the AI assistant which items are below theirs.

So when the rep offers a deal, the answer to “how many have we already got” takes about four seconds.

Can I see tyre stock across all my branches?

Yes. Stock is multi-warehouse, so one item shows what is on hand in each branch and what is on a purchase order and not yet landed. Moving stock between branches is a transfer that posts to the ledger. Multi-branch starts on the Professional plan, which covers 3 branches.

How do I hold different tyre sizes?

Does it track DOT date codes?

No. There is no dedicated field for the manufacture week and year, and no ageing report driven by it. The stock ledger carries the receipt date and the valuation reports show slow-moving stock, which tells you that a size is sitting but not the age of an individual casing.

Can I bill fleet customers monthly on credit?

Yes. A fleet customer is a receivables account, every branch’s sales land on it, and a monthly statement prints from it. Aging is reported by bucket and post-dated cheques are tracked through to clearance. Credit limits are visible in the aging rather than enforced as a hard block at the counter.

Does it handle 5% VAT?

Yes. VAT is calculated on every invoice, credit note and purchase as you raise it, in AED, with the totals your return needs already summed.

How does battery warranty tracking work?

Not by serial number. Stock is tracked by item and quantity, so there is no serial-level warranty register and no automatic supplier claim. The sale invoice is the warranty record, and the customer’s invoice history gives you the date of sale.

Can I take an old battery as a trade-in?

There is no purpose-built trade-in transaction. Most shops handle it as a discount line on the sale; if you resell scrap, you can receive it as its own item so that it carries a value and a quantity like anything else.

Is the cost on my margin report the real cost?

Yes. Stock is valued at a moving weighted-average cost, so a tyre leaves the shelf at what it actually cost you across the deliveries it came in on — not a price-list figure someone typed in last season.

Can I buy in dollars or euros?

Yes, with dated exchange rates and a base-currency ledger that still balances.

What if I also fit and service, not just sell?
